Overview

Zoom Phone is a cloud-based phone service that can be used to make, receive, and manage calls from multiple devices. This webpage includes resources and directions to support users as they transition to the Zoom Phone voice communication tool.

The Network Voice Services Team is transitioning University telephone and Voice Over Internet Protocol (VOIP) service users to Zoom Phone in a phased timeline by June 2026. Details about timelines, approach, and tools involved can be found on the Communication Tools Modernization Program page on Atlas (sign in required).

  • Important note about 911 calls: Because Zoom Phone is a technology that places calls over the internet (also known as Voice Over internet Protocol, or VoIP) there are certain restrictions we want users to know about. Appropriate Use

Faculty and staff in the Health Care Component (HCC) or those covered by the Business Associates Agreement (BAA) are prohibited from using Zoom Phone on personal devices. For those in the HCC or BAA, University’s Zoom Phone service must only be accessed via University-managed devices.

  • Call Management and Routing: Users can make, receive, and manage calls from multiple devices (desktop, mobile, and tablet) and set up custom call forwarding, transfer, and routing options.
  • Caller ID and Directory Integration: Caller ID is customizable, and Zoom Phone integrates with the University’s directory, making it simple to find and contact colleagues.
  • Customizable Call Settings: Users can set business hours, configure custom greetings, and use “do not disturb” modes, allowing for flexible management of availability.
  • Integrated Video and Audio Conferencing: Zoom Phone integrates with Zoom Meetings, so users can escalate a phone call to a video meeting instantly if needed, enhancing collaboration.
  • Intelligent Call Queuing: Calls can be automatically routed to the next available person in a queue, useful for departments that receive high call volumes.
  • Seamless Device Handoff: Users can switch devices during a call without interruption, allowing them to transition from desktop to mobile, or vice versa, mid-conversation.
  • Voicemail Transcription: Zoom Phone provides voicemail transcription, allowing users to read voicemail messages in text form, which can be especially helpful in noisy environments or when multitasking.
