Implementation of Course and Media Content Retention Standards
Overview
Retention standards for Canvas course sites and Kaltura content will be implemented on April 15, 2026. The retention standards will reduce Canvas dashboard clutter, ensure both platforms’ continued performance and reduce outdated or non-compliant content. The retention standards are as follows:
- PeopleSoft-associated Canvas course sites will be deleted after five years.
- Kaltura files will be deleted after four years if they have nine plays or fewer. If files have 10 or more plays they will be retained.
Annual retention and review cycle
Every April, the Office of Information Technology (OIT) will email all Canvas course teachers and Kaltura file owners and co-editors with content older than the retention limit. After the initial notification, those notified will have six months to review and save or move course content or media files before they are deleted.
How you'll be notified
- Email. Beginning April 2026, and annually thereafter, people who have the Teacher role in Canvas and people whose Kaltura content has exceeded retention limits will receive an email with a prompt to review content along with instructions to preserve any content that you want to keep.
- Textual indicators in Canvas. Courses that have exceeded retention limits will have their titles pre-pended with [TO BE DELETED OCT 2026] starting April 15.
- Textual indicators in Kaltura MediaSpace. After April 15, you can generate lists of impacted media using these steps:
- Navigate to the Course and Media Retention page in Kaltura MediaSpace.
- Select Show my media labeled “TO BE DELETED OCT 2026”
Timeline and milestones
- March 31, 2026: Notifications begin.
- Email notifications will be sent to impacted Canvas Course owners and Kaltura media owners.
- Kaltura MediaSpace: item will appear in the new announcements menu.
- April 15, 2026: Impacted courses and media [TO BE DELETED OCT 2026] labels are applied.
- October 1, 2026: Automated cleanup begins. Any content labeled for deletion will be automatically deleted in Canvas or moved to the Recycle Bin in Kaltura.
- November 1, 2026: Kaltura file deletion begins.
Excluded from retention standards
Canvas courses that are not associated with PeopleSoft and courses and media in learning.umn.edu and training.umn.edu will not be impacted by this initiative.
