Manually Assigning Users

Sometimes, there is a need to manually update the list of assignments outside of the normal workflow process. For example, when a new team member is added who needs to see requests from the dashboard, but the workflow process has not yet been updated to include the new team member. Or, to ad-hoc grant visibility to a case outside of the normal workflow process.

In Jadu Connect:

  1. Prerequisite: Ensure the assignment rule has already been set up for the workflow, as described in the Jadu Dashboard: Configure Case Visibility through Assignment article.
  2. Access the Assign To - Email List field through a method that allows it to be edited, such as a transition button or the edit case form, depending on your workflow.
  3. Edit the Assign To - Email List field to contain a comma-separated list of ALL email addresses for the users you want to be currently assigned to the case.

Important: The assignment rule configured in the prerequisite step replaces the entire list of assigned users on every update of the Assign To - Email List field, which is why it's important to include ALL email addresses and not just newly-added ones.

Viewing Currently Assigned Users

The Case Timeline shows the history of user assignments and unassignments. To see the current list of users who have visibility for a case, they can be viewed directly from either the case list or within a case using the Actions menu.

In Jadu Connect:

  1. Navigate to the appropriate case list and either select the box next to the case 
    1. Or, click on the case number to open the case.
  2. Select the Actions menu and click on Assign users to view currently assigned users

  3. The currently assigned list will display in the Assigned users field. 
    • An activated user record will display the full name and their Jadu Connect Category.

    • An incomplete user record (auto-assignment via case rules only) will display the numeric ID instead of the user's name. Once the user activates their account, their full name will be displayed in the assignment.

Note: While it is possible to manually add & remove users from this menu, it only allows assignment of activated Jadu Connect accounts. Users can be filtered by typing the full first name or full last name. Email / Internet ID cannot be used to search for a user.
