Jadu Dashboard: Configure Case Visibility through Assignment

To implement dynamic case assignment, you need to configure your Jadu Connect Case Type and Jadu Central Forms following the steps below.

Step 1: Modify Case Type to Unassign & Assign Users (Grant Visibility)

Update Case Form(s) in Jadu Connect

  1. Open your Case Type in Jadu Connect.
  2. Navigate to the Forms tab.
  3. Add the Assign To - Email List field to all case forms that are tied to a status where assignment needs to occur. This field will hold the email addresses of the users to be assigned.
  4. Save your changes to the case form(s).

Update Case Rule(s) in Jadu Connect

  1. Go to the Rules tab.
  2. Create a New Rule.
  3. In the first When statement, set the field(s) as follows:
    • Trigger: Select Event from the dropdown
    • Event:  Select Case Created from the dropdown
  4. Click the Or button to add another trigger.
  5. In the second When statement, set the field(s) as follows:
    • Trigger: Select Case field changed from the dropdown
    • Case field:  Select Assign To - Email List from the dropdown
  6. In the first Then statement, set the field(s) as follows:
    • Action: Select Remove all users memberships.
    • Important: This step is crucial. The subsequent action of assigning new users does not automatically clear out previously assigned users. Without this step, new assignments would simply add to existing ones, leading to incorrect visibility.
  7. Click the And button under the Then statement to add another action.
  8. In the second Then statement, set the field(s) as follows:
    • Action: Select Assign email list.
    • Email List: Select the Assign To - Email List field.
    • User Config: Select SAML Admin config from the dropdown options.

  9. Click Save to save your rule.

Important: The following actions are NOT supported and may cause processes not to work as expected:

  • Assign To User 
  • Assign to User Groups

Step 2: Map Emails from Jadu Central to Jadu Connect

  1. Open your form in Jadu Central.
  2. Create a UMN - Utility - List Cleaner Predefined Logic and pass your email list through it.
  3. Create a new Jadu Connect action template or update an existing one.
  4. Map the email address or a comma-separated list of email addresses (from a logic or field) from your Jadu Central form to be populated into the Assign To - Email List field in your Jadu Connect case type. 
  5. Map your UMN - Utility - List Cleaner logic output from your Jadu Central form to be populated into the Assign To - Email List field in your Jadu Connect case type. 

Important notes about mapping to email list field types in Connect:

  • All email addresses mapped to an email list field that's used for assignment MUST end with @umn.edu. Do not map campus-specific email addresses, as this could inadvertently result in the creation of duplicate Jadu Connect accounts.
    • Note: You can use the UMN Email Address validation on Text input fields to enforce this format.
  • All values being sent over to an email list field field MUST be passed through the UMN - Utility - List Cleaner Predefined Logic. This will ensure a clean list output for successful data transfer.

Step 3 (Optional): Add a Static Assignment List

This optional step will assign a static list of users to a case.

This is perfect for managers or process leads who need to monitor all cases for a specific process in their Dashboard without requiring the Case Supervisor role (which often grants more access than necessary). By using multiple assignment fields, you can keep a permanent group of observers "attached" to a case while the active Assigned To person changes at every step.

  1. Repeat the actions in Step 2 above, but this time, map your email list to the Assign To - Default Email List field.
  2. Update your Connect Case Rule from Step 1 above by adding another Then statement; set the field(s) as follows:
    1. Action: Select Assign email list.
    2. Email List: Select the Assign To - Default Email List field.
    3. User Config: Select SAML admin config from the dropdown options.
  3. Click the Save button to save your rule.

Your updated rule should look like this:
