Enterprise CRM: Add More Addresses to a Contact with Additional Address Information

What is Additional Contact Information?

Additional Contact Information allows you to add information to a Contact record beyond the default Home and Other addresses within the default Address Information fields.

There are more choices for Type of address, (i.e. Business, Dorm) etc., and there is more flexibility on Privacy options than with the other Address Information within the Contact record itself. It also allows you to associate an Organization record with that particular Contact and address.

What Are My Privacy Options?

Additional Contact Information was created as an Object in order to allow more than two addresses to be entered on a particular Contact record. Whether or not the Additional Contact Information will show for all Users or just your business unit can be determined when creating the Additional Contact Information record itself.

Using the Private checkbox will restrict visibility of the address to Users of your Business Unit. Leaving the Private checkbox unchecked will allow all Users of Enterprise CRM to see it. Check with your internal business processes to determine your desired privacy options.

Navigate to the Contact record (if needed)

  1. If you have enough information to find the Contact you may want to use the Global Search bar.
  2. If you do not have enough information to search or are working from a specific List View click on the Contacts Tab if showing in your default tabs or click on the All Tabs (+) button and click on Contacts in the list.
  3. From Contacts Home you can either click on the name of the Contact, if showing in your default View, or select the appropriate selection from the dropdown in the View: Menu and click Go!
  4. Once the appropriate Contact is visible click on the Contact Name in the list to bring up the Contact record.

Create Additional Contact Information

  1. Once on the Contact record there are two ways to get to creating Additional Contact Information:
    • At the top of the Contact record hovering over the text for Additional Contact Information brings up a window where the New Contact Information button is able to be clicked.
    • Further down on the page underneath the Contact Detail there is an Additional Contact Information section of the page where there is a New Contact Information button that is able to the clicked.
  2. Once on the New Contact Information record screen fields can be manipulated as needed. How you manipulate these fields will likely be determined by internal business processes.
    • Organization allows you to associate the Additional Contact Information with an Organization record.
      • This will not be seen on the Organization record within CRM, even if left public, but can be pulled in reporting.
    • The address fields of Street, City, County, Zip/Postal Code, and Country are able to be filled in (or not) as according to internal business processes.
    • The State/Province dropdown can only be used for United States addresses as only the states are available in the dropdown.
    • The Status dropdown menu allows you to select whether the Contact Information you're entering is Active or Inactive for the Contact record.
    • The Type dropdown gives you options to choose in regards to the type of contact information you are entering.
    • If the selections within the Type dropdown do not meet your business needs you are able to type something appropriate into the Other (please specify) text box.
    • The Private checkbox allows you to indicate whether this address should be public and visible to all Users within CRM looking at the Contact record or Private and only visible to Users within your business unit.
  3. Once you have all the information filled in as desired if you would like to make another Additional Contact Information record for this Contact you can click Save & New to be brought back to Step 2.
  4. If all fields have been filled in as desired and you are done making Additional Contact Information click on Save to be brought to the Contact Information record.
