Storage Services: File Share and Group Access Management Standards

In addition to creating new storage services, the Storage Portfolio Restructuring Initiative (SPRI) developed new standards for storage shares and group management. These standards are designed to provide more transparency into the data assets stored, more streamlined migration, and improved data stewardship.

Smaller, More Granular Shares 

  • Storage shares are right-sized for a single project, lab, working group, etc.
  • Multi-purpose shares are discouraged.
  • Users may be connected to multiple shares rather than just a single department folder.
  • The use of subdirectories is discouraged; instead, create a separate share.
  • Distributed File System (DFS) can be used to streamline access to shares on various services.

Group Access Management

Local unit staff members are responsible for maintaining group access for their shares. 

  • Units can access two standard access groups: Modify and ReadOnly
    • Only OIT has “full control” access to shares. 
  • Units maintain ongoing access management.
    • Unit staff identify and maintain who will have access to which shares to maintain access control groups.
    • Active Directory group membership can be managed with Group Manager.
