Google Calendar: Automatic Video Conferencing
To streamline meeting setup, Google Calendar’s auto-conferencing feature is enabled by default for all members of the University. When you create a new meeting with one or more guests, a video conferencing link (either Google Meet or Zoom, based on your previous usage) will be automatically added to the invitation. You do not need to manually select Add video conferencing for every meeting.
This configuration makes virtual meeting setup easier and ensures that your meetings are ready from the moment you create them, preventing the common issue of a calendar event starting but guests find no link to join the meeting.
Removing Automatic Video Conferencing Link
While the system will default to your most recently used virtual conferencing, you can still manually change or remove the conference link before sending the invite if a specific meeting requires a different setup.
Opting-out of Automatic Video Conferencing
The auto-conferencing setting is not configurable by individuals. If you would like to opt-out, contact Technology Help for assistance
