TDX: Manage Groups in the People App

Group managers in TDX have the ability to manage some permissions for their groups in the People App.

Note: Removing someone from a group will NOT remove their technician access to TDX. If you need to remove technician access for someone:

Finding Group(s) that You Manage

  1. Open the Applications Menu and select People.
    Applications Menu expanded, People app selected
  2. Click Groups in the left menu.
  3. Enter your name in the Manager field.
  4. Select the Search button  at the top of the window. All groups you manage appear in the main window. 
  5. Select the Group Name in the list; the group will open in a new window.

Adding a Group Member

Important:

  • Adding someone to a group will NOT grant them technician access to TDX. If you need to request technician access for someone:
    • Use the TeamDynamix ARF. If you are unsure what access to request, choose the option titled Basic technician (create and resolve tickets, create reports, view assets, create knowledge drafts)
  • If you add a technician to an approval group, be aware they will have the ability to approve requests sent to your group.

Adding a group member

  1. Go to the TDX People App and open the group you want to add a member to.
  2. Select +Add Group Member. The Add Group Members box opens in a new window.
  3. Type the name of the person you want to add to the group.
    • Use the lookup field search function  if the name of the new group member does not autofill. Student employee accounts typically do not autofill.
      • To find Student employees in the search function, you may need to toggle the search criteria from Employee to Both.
  4. Check the boxes next to the settings you want the new group member to have. A good practice is to use the default options. 
  5. Select Save. The new group member will appear in the group list.

Removing a Group Member

Important:

  • Do NOT remove yourself from your group. You will lose access to your manager permissions and will not be able to add yourself back to your group. If you accidentally remove yourself from a group you manage, fill out a TeamDynamix request form to request to be re-added as a manager of the group.
  • Removing someone from a group will NOT remove their technician access to TDX. If you need to remove technician access for someone:

Removing a group member

  1. Go to the TDX People App and open the group you want to add a member to.
  2. Find the name of the group member that needs to be removed from the table.
  3. Select Remove in that group member's row. A verification box appears asking for you to confirm that you want the group member removed.
  4. Select OK. The group member table will reload without that member's name.

Setting a Temporary Group Manager

Some circumstances require that another person be set to the Manager role for a group (e.g. vacations, sick leave, etc). In these situations, the Group Manager can temporarily give Manager permissions to another member of that group.

  1. Go to the TDX People App and open the group you want to add a member to.
  2. Find the name of the group member that you want to select as a temporary group manager.
    • If needed, follow the instructions above for adding a new group member.
  3. Select the No in the Manager column for that group member; the No will turn to Yes.
    • Note: DO NOT change your manager access to No. You will lose access to your manager permissions and will not be able to change yourself back to a group manager. If you accidentally remove your manager access, fill out a TeamDynamix request form to request to be re-added as a manager of the group.
  4. To remove the Manager permission from this group member, select the Yes in the Manager column to switch it back to No group manager permissions.

Changing a Technician's Primary Group

Primary groups improve consistency in ticket assignment and help to ensure that all active tickets are assigned to groups. Some things to know about primary groups are:

  • In general, you should not need to set the primary group for your group technicians.
  • All TeamDynamix technicians should already have a primary group. Technicians are assigned a primary group when they are first given technician access to TeamDynamix.
  • The primary group should be the main ticketing group the technician works with.
    • If a technician works consistently with tickets in multiple groups, any of these groups can be set to the primary group. 
  • Primary groups ensure tickets are assigned to groups as well as individuals.
    • Example: If Technician A assigns a ticket directly to Technician B, the ticket will also be assigned to Technician B's primary group.

To change a technician's primary group:

  1. Go to the TDX People App and open the group you want to modify.
  2. Find the name of the group member.
  3. Select Set in the Primary column in that group member's row. The user has a Primary flag added to their record.
