This article walks you through the process of installing the Google Gmail and Device Policy apps that are required for accessing Business Associate Agreement (BAA) account emails through an app on iOS (Apple) mobile devices. UMN managed iOS devices should not install Google Device Policy as it will not function with the University's existing Mobile Device Management System. These steps should only be followed on personal iOS devices.

Installing Your UMN Google Apps Work Profile
Preparing Your Device
- Review the minimum security requirements necessary to set up the iOS Device Policy app.
- Review accounts from other institutions to confirm you do not have any other Mobile Device Management (MDM) software that may conflict with the University's iOS Device Policy app.
- Back up your data (recommended).
- Update your device's software if your device does not have a supported version of the iOS operating system.
- Encrypt and set a passcode for your device if you have not done so already.
- If you have already signed into your UMN Google account on your device, sign out of it and remove the account from your device.
Configuring Your UMN Google Apps Work Profile
More information regarding configuring Google Device Policy can be found at Google's Use the iOS Google Device Policy app webpage. Listed below are the steps needed to configure your UMN Google Apps Work Profile:
- If not already installed, download and install the Gmail App from the App Store.

- Open the Gmail app on your iPhone and select Sign In.

Select Google under Add account.

Enter your full University email address in the Email or phone text box and select Next.

Note: If you're prompted with a list of email addresses, select your UMN email address. If your UMN email address isn't listed, then select Use another account and you'll be prompted to enter your UMN email address.

Sign in with your MYU Internet ID and password on the University of Minnesota sign in page.

Select APP STORE to find the Google Device Policy app. You are required to install this app.

Select Get on the Google Device Policy page in the App Store.

The Device Policy app will install on your iPhone. Once the installation is complete, find and open the Device Policy app on your iPhone.

Scroll through 5 pages and at the end, press Continue. Afterwards, press Allow for allowing notifications.

Select Get Started on the Welcome to Device Policy app page.

Select your University email account.

Select Accept to agree to the terms of service.

In order to access your data you must install the management profile. Select the blue down arrow to start the installation.

Select Allow to open your phone Settings.

Note: The latest version of iOS has a known issue where a loop occurs in the instructions above.

The loop will install the device policy app, download the device profile, will have you accept the profile, and then it will loop and ask you to download the device profile again.

To resolve this, once you have downloaded the device profile:

Open the iPhone's Settings app.
-
Tap General and select VPN & Device Management.

Select Google Workspace Device Policy Payload Profile.

Select Install.

If prompted, enter your passcode.

Select Install.

Select Trust.

-
Select Done.

Return to the Google Device Policy app and select Done. If your phone is running on iOS 26 or above, you will need to click X in the upper left corner.

You will see that your device has synced and at what time. If you do not see this, tap the sync icon. Once you're sure your device has synced, tap the hamburger menu icon in the upper left.

Select Apps.

A list of apps will show up. Select Update on all apps that need it. Once finished updating, it should now say Installed.

Select Get for apps you'll need. Do not install the listed apps in the Apple Store or the Google Device Policy App will stop syncing.

If you receive an App Management Change notification, select Manage.

Once completed your Google apps will be managed by the University of Minnesota and you can access your UMN Google Apps account with them.

If, when completed, the apps are not populating, a restart will often fix the problem

Troubleshooting
You may encounter errors when configuring your device with the Google Device Policy to access your UMN Google Workspace. 
Conflicting Apps
Here are a list of apps that cause issues and need to be removed before retrying the steps or resyncing the app:
- YouTube
- Microsoft Teams
- Google Meet
- Google Maps
- Google Chat
- Google Photos
- Google Analytics
- Google Classroom
- Google Translate
- Google Ads
Uninstalling and Reinstalling Google Device Policy App
If you removed those apps and are still experiencing issues, try the follow troubleshooting steps:
- Remove your work account (@umn.edu) from your iOS device.
- Remove your account from both the Gmail app and iOS mail app.
- Unregister and Remove your account from the Device Policy app.
- Uninstall the Google Device Policy Application.
- Make sure the Google Workspace Device Policy Payload Profile is removed in iOS settings. If not, then you'll need to manually Remove the configuration profile.
- Uninstall any apps listed under Conflicting Apps that are currently installed on your iOS device.
- Restart your device.
