Drupal: Reuse Media or Documents Using the Media Library

All media and documents uploaded via the Drupal interface are stored in your site's files. Because of this, you can easily reuse images and other media on many pages. There are two useful benefits: (1) it reduces the amount of space your site uses on the servers, and (2) if you need to update a piece of media (for example: a professor wants to update their profile picture), you only need to update the file and every use is updated.

Reusing Media or Documents Using the Media Library

To reuse an image, document, or other type of media:

  1. Place your cursor in the rich text field where you want to place the image
  2. Select the Insert Media icon in the text editor toolbar.
  3. Select the media type in the left navigation tab. The main palette will display two areas: 
    1. The upper area allows for uploading files. The allowed file types are displayed below the Add File box.
    2. The lower area allows for searching previously uploaded files
  4. Locate the media item or document you want to use. Utilize the filters at the top to limit the items in the list.
  5. Click on the media media item or document item you wish to select.
  6. Click the Insert Selected button. The selected file(s) will be inserted into the text field.
