Targetprocess: Share Views

This article provides information about how to share views in Targetprocess.

Share a view with other Targetprocess users

The ability to share views in Targetprocess is limited to the following roles:

  • Product Manager
  • Release Train Engineer
  • Administrators

If you are in one of these roles, you can share a view with other Targetprocess users by taking the following steps:

  1. In the left-hand menu, navigate to the view you want to share.
  2. Click on the three-dots icon to the right of the view name, and select Access. The Access window will open.

  3. In the Access window, on the left-hand side, there are three access options. In almost all situations, you will choose Private or Custom Sharing:
    • Private 
      • Private views are visible to the view owner only. However, it is accessible via direct link for administrators as well. This is the default option for new views. 
    • Custom sharing 
      • View is visible to all members of selected Teams and Portfolios (Projects) or to specific users.
      • When setting "Custom Sharing" on a given view or folder of views, it is recommended to provide access via Portfolios and Teams (vs. giving individual users access). 

Note: Because Public views will be visible in the left-hand menu to all users of Targetprocess this option should not be used unless you have submitted a Targetprocess Modification request and it has been approved.

Caveats

  • Views will inherit the access settings of their parent folders. 
    • As a result, if you encounter the message "You can not edit Access because it is inherited from parent Folder", work with the folder owner and/or Targetprocess administrators to discuss the sharing permissions of the folder or view.
  • Views can only be shared with users in Targetprocess.
    • Limited viewing access can be approved for others at the University provided there is a valid business need. Work with your Release Train Engineer (RTE) or Product Manager (PM) if such access is necessary.
