Donor Management System (DMS): Overview

The Donor Management System (DMS) is a collection of custom-designed modules and integrated software services that serves over 1,800 users (staff around the UofM including the five campuses) who work in alumni relations, fundraising, accounting, ticketing and events, financial aid and scholarship administration, to advance the University of Minnesota Foundation's objective to advance the University of Minnesota's Mission. DMS is the source for accurate and up-to-date information on alumni and donors to the University of Minnesota Foundation (UMF).

DMS stores, maintains, and protects records, which include:

  • ~600,000 living alumni in all units and campuses
  • ~1,500,000 individuals
  • ~60,000 organizations
  • ~589,000 donors
  • ~17,000 major gift prospects
  • ~1,900,000 addresses
  • ~1,700 active users in all units & campuses
  • ~1,600,000 documents
  • ~165,000 scholarship recipients

DMS has integrations with other enterprise systems or external vendors. which include:

  • SalesForce Marketing Cloud (DMS loads Data Extensions via manual or automated processes. This is the UofM's enterprise email system which DMS integrates with)
  • PeopleSoft (source for graduated alumni, scholarship recipients)
  • AudienceView (UMF records gifts received from AV in order to receipt donor)
  • Paciolan (Twin Cities ICA season tickets and gifts)
  • Qualtrics (UofM's approved enterprise survey tool - manual process to interface with this system - there are no automated processes)
  • USPS (Intelligent Mail Barcode for electronic address correction back into DMS)

DMS and its interfaces are maintained by the University of Minnesota Foundation on behalf of its users per memorandum of understanding with the Regents of the University of Minnesota. UMF data protection policies, procedures, and data classification requires all users to protect the integrity and appropriate use of the data contained in DMS.
