TDX Knowledge: Removing a KB Article From the Technology Help Website

If there is an article published on the Technology Help website (it.umn.edu) that should not be there, it can be changed to a restricted article or to an internal article. To remove the article from the Technology Help website, you need to do the following:

Check for Referring Links

If the content of an article needs to be restricted to TDX users, you will first have to make sure no other entities are linking to it from elsewhere.

Set the Restrict Access Setting

  1. Log in to TDX.
  2. Find the article.
  3. Click Edit.
  4. Select the Settings tab.
    1. Scroll down to the custom setting: "Restrict Access: Require login with a UMN Internet ID to view this content?"
    2. Select the appropriate setting:
      • Yes - All campuses must log in to view. 
      • No - Article can be published for public viewing. 
      • Internal article for Technicians only.
    3. Save.

(Optional) Uncheck the Publish Flag

If the article needs to be available to the University community, keep the Publish to KB flag checked.

If the article should only be available internally to TDX technicians, then uncheck the Publish to KB flag. You must be a Global Knowledge Editor to perform the following:

  1. Log in to TDX.
  2. Find the article.
  3. Click Edit.
  4. Select the Settings tab
    1. Uncheck the Publish to KB checkbox.
    2. Save.

Update Drupal Links on the Technology Help Website

If the article is referenced in a Self-Help Guide or a Drupal page on the Technology Help website (it.umn.edu) and you have edit rights:

  1. Log in to the Technology Help Drupal site.
  2. Change the link reference(s) to the TDX article URL.
  3. Add the following note: Requires login to view.

If you do not have edit rights, submit a request through z.umn.edu/makeituserfriendly. An Incident ticket will open and someone will address it asap.
