UMN Google Apps: General Email Client Configuration

Many users prefer to use their University Gmail through one of several desktop and/or mobile clients. This article will provide essential information for setting up a desktop or smartphone client.

NOTE: Many clients require you to turn on Less Secure Apps prior to setting up your account.

Incoming Mail

  • Server type: IMAP
  • Server/Host: imap.gmail.com
  • Port number: 993 and select Use SSL
  • Username: Use your full email address (username@umn.edu)*
  • Password: Use your Internet password**
  • Authentication method: Password
  • Mail check interval: 15 minutes or longer

Outgoing Mail

  • Server/Host: smtp.gmail.com
  • Port number and security: 587 and select Use SSL**
  • Username: Use your full email address (username@umn.edu)*
  • Password: Use your Internet password**
  • Authentication method: Password

BAA

BAA (Business Associates Agreement) references anyone who might be receiving private health information (PHI) through their mail. Extra precautions must be put in place for security and legal reasons. Note: Following the steps below registers your device with Google. Additionally, restrictions require that the phone must be set to have a passcode.

  • Android
    1. Choose to set up as a Google Account.
    2. Enter full internetID@umn.edu.
    3. Sign in via University login.
    4. Download Google Apps Device Policy App from the Play Store.
    5. Agree to steps listed in App.
  • iPhone
    1. Choose to set up as an Exchange Account.
    2. Enter full internetID@umn.edu.
    3. Enter usual password for logins.
    4. Enter m.google.com as Server.
    5. Select Next.
    6. To ensure HIPAA compliance on your device you must set a passcode; you should be prompted to do so after you've added your University email account to your phone. If you are not prompted, do this manually.

Note: Some accounts can be set up as Gmail instead of "other"

 *Users from other domains (ex: d.umn.edu) should include their full email with campus designation.
