Shipping IT Equipment through UPS

You can use the UPS pack and ship service from several of their stores to ship IT equipment. Go online to learn more about having UPS do the packing and shipping of your items at Pack and Ship Electronics | Electronics Packaging | The UPS Store

Prepare the Shipment Yourself

1. Make sure the object(s) is(are) packaged securely, and that you get their weight and dimensions. 
   • UPS provides some insight in their guide to shipping a computer.
   • Review the OIT Stock Shipping Dimensions and Value to find the weight and dimensions of several commonly shipped computers and accessories without packing materials.
2. Go to UPS, select Create a Shipment, and follow the website prompts to complete the required fields:
   1. Complete each step to create the shipment, including: Where, What, How, Details, Payment, and Review. 
   2. Packaging type: Select My Packaging unless using specific UPS packaging materials
   3. Fill out the Declared value:
      • This crucial field determines how much the package is insured for in case of theft, loss, or damage. 
      • You can use a combination of current prices for similar used items and the leftover warranty to arrive at this estimate.
   4. Most electronics have lithium batteries. Select Includes lithium batteries.
      • Type of battery: Ion Cell.
      • How is it packaged?: Contained or installed in equipment.
   5. Anything with batteries needs Ground Shipping.
3. After verifying your selections, press Ship now. A new page and a pop-up window appears with the shipping label(s).
   1. Print and attach label to the shipping box.
4. Print a receipt for your department's records. 
5. Document the tracking number presented on the final page.
   1. Email the tracking number to the user who will receive the package.
