Jadu Connect: Update a Case with Data from a Subsequent Form (Task 6)

This is the sixth of nine tasks for setting up your Jadu Central forms to work with Jadu Connect. Please go to the Self-Help Guide, under the Configure a Jadu Connect Workflow column, for more information.

This article explains how to update or append data from a subsequent form to an existing Jadu Connect case. For example, when a supply request is approved, you may want to append the approval response and approval comments to the Jadu Connect case so they can be carried forward to the fulfillment team using the next form in your process.

Note: The following steps are completed in Jadu Connect in your Case Type setup.

Step 1: Create a Normal (Transition) Case Form

  1. Go to the Forms tab within your Connect case type setup.
  2. Select New Form. The New Form creator appears.
    • Name: Give the form a name that reflects what it will be used for. We recommend giving it the same or a similar name to the transition it will be linked to.
      • Note: Forms can be used for multiple transitions if they all need to update the same fields, so if you have separate transitions for an approve or deny decision, you might name the form something like 'Supervisor Decision'.
    • Show form on these transitions: Select one or more transitions to link this form to.
      • Note: When you use the selected transition in a Jadu Central form's action templates, you will see the fields from this Connect form in your mapping window.
  3. Select Save.

Step 2: Add the Fields to the Case Form

  1. ​​​​​​Determine which fields should be updated or appended to the case during the transition(s) that you linked to your new Connect Normal (transition) Form.
  2. Follow the steps in Jadu Connect: Working with Case Form Fields, Adding Fields to a Case Form section to add all of the necessary fields to your Normal (transition) Form.
    • Note: As a minimum requirement, you must include the Form Reference and Form Name fields.
