Enterprise CRM: Add Interested Party Assignments, Users, and Change record Owners

What Are Interested Party Assignments?

Interested Parties allow you to assign the name of a group to relevant Contact and/or Bio records. While some Interested Parties are created by default, for example your business unit, you are able to create any Interested Party names that suit your particular needs.

Interested Party Assignments can be either defaulted by a business unit taking action on a record or manually associating records as outlined below.

When and why to create new Interested Party Assignments will be dictated by your internal business processes. Check with your business processes prior to creating any Interested Party records to ensure any standard naming conventions or other necessary criteria is included.

What are My Privacy Options?

Enterprise CRM has records that it shares across all business units and organizations. The Interested Party record type is one of those records and is considered public view-only.

This means that any information you put into an Interested Party record and associate with a Contact will show on those records for any other user of Enterprise CRM, regardless of business unit, but they will not be able to edit the Interested Party record or assignment. It will show for Users not within the business unit of the Interested Party Owner as a view-only record.

Managing Interested Party Assignment Information

Navigate to the Interested Party record (If Needed)

  1. If you have enough information to find the Interested Party you may want to use the Global Search bar.
  2. If you do not have enough information to search or are working from a specific List View click on the Interested Parties Tab if showing in your default tabs or click on the All Tabs (+) button and click on Interested Parties in the list.
  3. From Interested Parties Home you can either click on the name of the Interested Party, if showing in your default View, or select the appropriate selection from the dropdown in the View: Menu and click Go!
  4. Once the appropriate Interested Party is visible click on the Interested Party Name in the list to bring up the Interested Party record.

Adding Interested Party Assignments

  1. Once on the Interested Party record clicking on the New Interested Party Assignment button will bring up the New Interested Party Assignment screen where various fields can be manipulated as needed.
    • The Interested Party field will automatically be filled in with the Interested Party record you were just on.
    • The Contact field is required and the Lookup icon can be used to search for and associate a Contact record.
    • Notes is a free-form text box to be used in accordance with internal business practices.
    • The Bio field is optional and the Lookup icon can be used to search for and associate a Bio record.
    • The Interested Party Assignment Organization field is optional and the Lookup icon can be used to search for and associate an Organization record.
  2. Fill in all desired fields for the Interested Party Assignment and if you would like to add another Interested Party Assignment for this Interested Party record click on Save & New at the top or bottom of the screen.
  3. Fill in all desired fields for the Interested Party Assignment and if you are done click on Save to be brought back to the Interested Party record.

Adding New Users

  1. Once on the Interested Party record clicking on the New User to Interested Party button will bring up the New User to Interested Partyscreen where various fields can be manipulated as needed.
    • The Interested Party field will automatically be filled in with the Interested Party record you were just on.
    • The User field allows you to use the Lookup icon to search for and associate a User to the Interested Party.
  2. Fill in all desired fields for the User to Interested Party and if you would like to add another User to Interested Party for this Interested Party record click on Save & New at the top or bottom of the screen.
  3. Fill in all desired fields for the User to Interested Party and if you are done click on Save to be brought back to the Interested Party record.

Changing Owners

  1. Once on the Interested Party record the Owner field shows in the Interested Party Detail.
  2. Clicking on [Change] next to the Owner name will bring up the Select New Owner screen where the Lookup icon can be used to search for the User to assign as Owner.
    • While it is unlikely that you will be changing the Owner to any User outside of your business unit note that this change will affect your privacy options if you do. You will effectively be making the record view-only to your business unit and giving the business unit of the new owner access to edit the Interested Party.
  3. The Send Notification Email checkbox is optional and will send an email to the User being assigned as Owner notifying them of the change.
  4. Clicking Save will bring you back to the Interested Party record and trigger the email if the checkbox from Step 3 was selected.
