TDX ITAM: Standard Operating Procedure 12 - Assess IT Asset Management (ITAM) Data Quality

This article outlines the ITAM policy in regards to data quality.

Statement

The Office of IT will perform self audits of the ITAM environment, at regular intervals, in order to assess ITAM data quality and measure against stated Key Performance Indicators (KPIs).

Purpose

Ensure that ITAM/SAM processes are running as planned and to ensure the highest possible data integrity within the ITAM/SAM databases.

Applicability

All in-scope end point devices deployed in the operating environment.

Supporting Information

Asset Management procurement and IT asset monitoring, the service portfolio, asset repository architecture, and AM - Conduct AMDB Audit.

Adherence Measurement

The following Key Performance Indicators will be used to measure data integrity performance:

  • Percent of computers assigned to a user is >90% of all In Use computers
    • Measurement:  Number of In Use end point devices assigned to an owner/Total number of In Use end point devices
    • Purpose: For auditing and lifecycle management purposes, it is required to have end point devices tied to a single user to make sound data-driven decisions.
  • Percent of computers assigned to a College/Dept is >90% of all In Use computers
    • Measurement:  Number of In Use end point devices assigned to a department/Total number of In Use end point devices
    • Purpose:  For auditing and lifecycle management purposes, it is required to have end point devices tied to a department to make sound data-driven decisions.
  • Percent of computers assigned to a Location is >90% of all In Use computers
    • Measurement:  Number of In Use end point devices assigned to a location/Total number of In Use end point devices
    • Purpose:  For auditing and incident ticket resolution, it is helpful to have end point devices tied to a location in order to physically locate the device.
  • Percent of computers assigned to a Use Type is >90% of all in scope computers
    • Measurement:  Number of In Use end point devices assigned to a TDX Use Type/Total number of In Use end point devices
    • Purpose:  For auditing and lifecycle management purposes, it is required to know a device's purpose and how it is being utilized in order to make sound business decisions. This is also needed to better manage the fleet in regards to Loaners, Computer Labs, etc.
  • Percent of computers assigned to a Product Model is >90% of all In Use computers
    • Measurement:  Number of In Use end point devices assigned to a TDX Product Model/Total number of In Use end point devices
    • Purpose:  For mature fleet management and known issue mitigation, it is important to know which makes and models are currently utilized and in what numbers. It is also helpful during lifecycle management and replacement planning.
  • Percent of computers assigned a warranty expiration date is >90% of all In Use computers
    • Measurement:  Number of In Use end point devices assigned a manufacturer warranty date/Total number of In Use end point devices
    • Purpose:  For fleet health, financial risk management, and incident ticket resolution, it is necessary to know the current warranty status.
