Digital Content: Write Effective Subjects and Preheaders

Emails display a Subject and a Preheader in a user's inbox to give them a preview of the content inside the email.

The subject should include the most important information, while the preheader can include extra context that adds to the message. Subjects are mandatory for all emails; preheaders are optional.

Reviewing Subject Guidelines

  • Use 50 characters or less.
  • Provide the most important information first.
  • Use title case for all headers by capitalizing every word except articles, conjunctions, or propositions (e.g.. a, an, the, and, but, or, on, in, with).
    • Example: Google Workspace Education Plus Upgrade for Active Staff and Faculty Accounts.
  • Do not end headings with any punctuation. 
  • Do not use all capital letters except for acronyms.
  • Ensure the text is clear and non-deceptive.
  • Include a date in the heading if it causes disruption, outage, or if the user needs to complete an action.

Reviewing Preheader Guidelines

  • Use 85–100 characters.
  • Add context to the headline message.
  • If there is action required of the user, use the preheader to add information and a call to action.
