Use the upgrade, migration, or other change digital content plan template if you need to communicate about a changing technology or service. Typically, this is only used for major changes that highly impact any number of people, and should always be used if users need to take action as a result of communications.
The template comes pre-populated with suggested digital content communications and meetings. All content in the plan should be reviewed and potentially revised depending on the digital content needs of the project.
Using the Upgrade, Migration, or Other Change Plan Template
- Access the Upgrade, Migration, or Other Change Plan template.
- Fill in the information portion of the plan template.
- Change date: The date of the launch in month/day/year format.
- Subject Matter Expert (SME): The main contact for the service/technology.
- Digital Content Communicators (DCC) Lead: The name of the DCC team member working on the project.
- Link to feature: Once the feature for the digital content work is created, add a link to it in this column.
- Plan out initial digital content needs in the rest of the template.
- Phase: Digital content items fall into four phases:
- Pre-Announcement (work done before the announcement)
- Announcement (sharing news of the change for the first time)
- Follow-Up (reminding audiences about the news)
- Final (last notice of change).
- Date: Day the communication, meeting, or other action is taking place.
- Days until change: Days between the communication, meeting, or other action and the change that is automatically calculated.
- Channel: Method of communication.
- Audience: People who need to receive the message.
- Goal: The message the audience should learn.
- Key messages and links: Supporting information and resources.
