Zoom: Conduct a Phone Conference Call

Zoom can be used to set up a phone conference call where all meeting participants access a meeting via a phone. This option allows for the use of in-room conference calling speaker and microphone equipment.

Note: You will need to use a Staff, Faculty, or Departmental account to set up a phone conference call (phone-only meeting) in Zoom. 

Finding your Host Key 

Note: This is a number you will use to access the meeting as the host. Do not share this number.

  1. Log in to umn.zoom.us using your UMN credentials.
  2. Select Profile in the left menu.
  3. Scroll down on the right side to where it says Meeting.
  4. Select the eye icon eye icon with closed eyenext to your Host Key to view your current 6-digit pin.
  5. Copy these numbers to a location you will remember.

Scheduling the phone conference call 

  1. Be logged in to umn.zoom.us using your UMN credentials.
  2. Select Meetings in the left menu.
  3. Select +Schedule a Meeting on the right side of the page. 
  4. Enter Phone-only conference call in the Topic field.
  5. Check the box for Recurring Meeting so that you can use this phone-only conference call meeting space for future.
  6. In the Recurrence drop down menu, select No Fixed Time.
  7. Make sure the Passcode checkbox next to Security is checked.
  8. Next to the Audio options, select the Telephone radio button.
  9. If you want to make a recording, select Show next to the Options area.
    • Select Automatically record meeting and In the cloud.
  10. Select Save. The page will reload.
  11. Select Copy Invitation next to the Save button. A pop-up will appear with the meeting details and list of phone numbers.
  12. Copy the Meeting ID, numeric passcode, and applicable Dial by your location phone numbers based on where your participants are dialing in from:
    • Be sure to at least copy the Minnesota location phone number for yourself.

  13. Send the Meeting ID, Passcode, and phone number list to participants
    • Meeting invitations should not contain URLs; use passcodes with numbers only.
    • You can copy the last 2 lines of the meeting invite that have the Meeting ID and numeric passcode. You will also want the Minnesota phone number but may want to include additional cities.

Starting the phone conference call 

Note: You do not need to be logged in to Zoom to start your phone conference call.

  1. Call 651-372-8299.
  2. Enter the meeting ID.
  3. Enter your Host Key from Finding your Host Key (on this page) above.
  4. Wait for other attendees to join.
    • Everyone else can join the conference call by dialing the phone number in the meeting invite (651-372-8299) and entering the passcode in the meeting invitation.
