Zoom: Create or Update a Meeting with a Passcode

You can create or add a passcode to meetings in order to protect your Zoom meeting or webinar from disruption. 

There are three common ways to create a Zoom meeting:

Use the following sections to create a passcode-protected Zoom meeting using your preferred method.

Creating a Meeting with a Passcode

When creating a new meeting, you can add a passcode when selecting the meeting details. 

Using the Zoom Portal

By default in your UMN account, the setting Embed Passcode in invite link for one-click join is toggled on. This allows participants to join the meeting without needing to enter a passcode separately.

  1. Go to zoom.umn.edu and Log In if prompted by entering your University Internet ID and passcode at the login screen.
  2. Select Schedule a Meeting 
  3. Fill out the meeting details.
  4. Next to Security, make sure Passcode is checked. Zoom automatically provides a random 6-character passcode.
    • Optional: Change the six digit passcode.
    • You may login and review your passcode at any time before the meeting.
  5. Select Save.
  6. To add the meeting information to Google Calendar, select Add to Google Calendar and follow the prompts to create a calendar event.

Using a Browser Extension

To enable the ability to include passcodes on your meetings using the Chrome or Firefox extension, you must first update your Settings:

  1. Select the Zoom extension icon in your browser bar
  2. Select the Settings icon
    Zoom Browser extension menu. Schedule a meeting, start a meeting, user email and settings.
  3. In the Security section, make sure Passcode is checked.
  4. Make sure Allow me to specify meeting options each time is checked.
  5. Click Save.
  6. Go back to your Extension and select Schedule a Meeting.
  7. Fill out your meeting details and click Continue
  8. Your meeting invite updates with an embedded passcode.
  9. After completing your invite details, click Save.

Note: If you need to access or share the meeting passcode (6-digit passcode), you will need to find your meeting in the Zoom portal.

Using Google Calendar Integration

  1. Add a Google Calendar Meeting.
  2. While editing the Calendar Meeting, select Add Video conferencing.
  3. From the options, select Zoom Meeting

  4. Your event details update with Zoom meeting ID and passcode.
  5. Click Save.

Updating an Existing Meeting with a Passcode

Starting September 27, 2020, existing meetings without passcodes will automatically have a waiting room added to them. To add a passcode to an existing meeting that does not already have one, you have additional options.

In the Zoom Portal

Meetings created using the Chrome/Firefox Extension, Google Calendar Integration (Zoom for GSuite), Canvas, or in the Zoom Portal can all be modified from the Zoom Portal.

  1. Go to zoom.umn.edu and Log In if prompted by entering your University Internet ID and passcode at the login screen.
  2. Find a meeting that you wish to update. 
  3. Hover over the meeting and select Edit that appears on the right side of the page.
  4. In the Security section, make sure Passcode is checked. Zoom automatically provides a random 6-character passcode
    • Optional: Change the six digit passcode.
    • You may login and review your passcode at any time before the meeting.
  5. Select Save.
  6. To add the updated information to your calendar invite, select Copy Invitation next to the Invite Link. 
    1. A pop-up window appears with the meeting invitation information. Select Copy Meeting Invitation.
  7. In a new browser window or tab, go to your Google Calendar and find the event you wish to update.
  8. Paste the new meeting invitation from your clipboard into the body of the calendar event.
    • Note: You may also need to update the event link in the location area.

In the Google Calendar Integration

To edit your meeting using the Google Calendar integration, you must first open your scheduled event before you can update the passcode using the integration.

  1. Click on the meeting you wish to edit.
  2. Click the Edit pencil icon.
  3. With the meeting details open, select the Zoom for GSuite icon.

    2. Click Update Meeting.
  4. Click Save on the meeting invite.
