ServiceNow Knowledge: Create Gmail Filters for Knowledge Notifications
If you are a member of either the public or internal knowledge editors groups you will receive knowledge publication and retirement approval notifications from ServiceNow. When an article is submitted for publication, a notification is sent to any member of the assignment group for which the article is assigned who is also a knowledge editor. Depending on your role you may receive many different types of notifications and you will want to filter your approvals.
Setting up a Gmail filter for ServiceNow knowledge approval notifications
Log in to your University of Minnesota Gmail account.
Copy and paste ONE OF the following into the Gmail search box:
To filter all publication requests:
from:(UMN Service Desk) (subject:(“in IT General Support Ready for Approval”) OR subject:(“in Public KB Ready for Approval”))
To filter all retirement requests:
from:(UMN Service Desk) (subject:(“in Public KB Submitted for Retirement”) OR subject:(“in IT General Support Submitted for Retirement”))
Note: You can create both these filters and have them filter into the same Gmail label or into different Gmail labels.
Click the Show Search Options down arrow on the right of the Search box. The advanced search window opens.
Click Create filter with this search at the bottom right.
Select the actions you want the filter to use. You many want to select
Skip the Inbox
Apply the label: Knowledge Approval Requests
Also apply filter to # matching conversations (to filter any messages you have already received).
