Collaboration with external partners is a critical component for many business processes at the University of Minnesota. Many of these external partners do not have Google accounts, which presents additional challenges when collaboration is required.

As of January 7, 2021, all University accounts, including the Health Sciences, can now invite people who don’t have Google accounts to collaborate on University Google Drive files and folders easily and securely.

With this new feature, you will be able to specify non-Google email addresses in the sharing window for Drive, Docs, Sheets, Slides, and Sites and determine the level of user access: view, comment, edit. You can stop sharing the file at any time.

To access the shared file, visitors will receive an email with a unique PIN to confirm their identity. Visitors will have access to the shared file for 7 days and can visit the original email and re-authenticate with the same PIN as needed.  

This new feature provides you with a more streamlined process to collaborate with external vendors, contractors, and educational organizers; you’ll no longer need to manage multiple file types or attach, download, or upload documents.

Note: This feature is available to all University accounts, including BAA accounts. Reminder that Box Secure Storage is required for housing PHI data.
