
New Offerings Help You Retain Google Files After Collaborators Leave

Beginning January 28, 2025, the Office of Information Technology has two new offerings to help retain Google files that are scheduled to be deleted:
- Opt-in monthly notifications (available to faculty, staff, and students); and the
- Permission to Move Files Process (available to faculty, staff, and student employees)
Google Workspace files are scheduled to be deleted after accounts close. Accounts close after people leave the University. The timeline for account closures is determined by one's role (faculty, staff, student) and whether or not one's account is affiliated with the Health Care Component. While it is strongly encouraged to move files to a shared drive before one leaves the University, this does not always occur. People who remain at the University who need to retain access to files stored in a closed account, need to take prompt action. Files stored in closed accounts remain available to those with whom they are shared for 120 days. After 180 days the contents of the closed account will be permanently deleted.
