Use NetFiles in Place of Sending an email Attachment

NetFiles makes it much easier to collaborate with coworkers, as well as colleagues off campus and around the world. You can place large documents or presentations in NetFiles and give your coworkers access rights, eliminating the need to send attachments by email, so all of you are working on the same file and storing it in the same place. You can also lock files while you are working in them, preventing others from making changes before yours are saved. Document owners can be notified when any changes are made to their documents, and NetFiles can be used to keep track of various versions of a document.

Add a New File to Your Account

  1. Navigate to the folder in which you wish to upload your file.
  2. Select Upload.
  3. Browse to locate the file, Open.  Select Add File to upload additional files.
    Start Upload.

Notify Recipients that a Shared File/Folder Exists

Option #1: Share files/folder through the use of tickets.

  1. Select file/folder to be shared.
  2. Select Manage from top toolbar, Tickets.
  3. Select New Ticket.  Set various options as desired:  Define Permissions, View access, Lifetime, Password. OK.
  4. Select Ticket, Email or copy Ticket Link: into an outgoing email message.  It is recommended to send the password (if used) in a separate email.

Option #2: Email Link or Ticket directly from NetFiles (works only if an email client such as Thunderbird or Outlook is setup on the computer being used)

  1. Select file/folder to be shared.
  2. Click Email from top toolbar.
  3. Select appropriate users/visitors option, then Add User/Group.
  4. Enter name or Internet ID, Find. Select from listing, OK. Select Add User/Group to add additional members.  Send.

  5. The ticket URL will appear in an outgoing message.  Make any modifications to email, then Send.

Option #3: Send users the Full URL:  (best for users outside the UMN).

  1. Select file/folder to be shared.
    Click Manage, Summary from top toolbar.
  2. Copy the Full URL:
  3. Open email client and begin composing a new message. Paste the URL into an email to the recipient.

Option #4: Send users the Intellilink URL: (best for UMN users who may be editing file within NetFiles).

  1. Select file/folder to be shared.
  2. Click Manage, Summary from top toolbar.
  3. Copy the Intellilink URL:
  4. Open email client and begin composing a new message. Paste the URL into an email to the recipient.
